Privacy policy
Last updated: 5 April 2026. Rotaract South Asia MDIO (“we”, “us”) operates Publications Hub (“PubHub”).
1. Scope
This policy describes how we handle information in connection with the PubHub website and related publisher tools. It does not govern third-party sites linked from PubHub (for example external Rotary or district websites).
2. Information we process
- Account and sign-in. If you use Google sign-in, we receive identifiers and profile details that Google shares with our application (such as your Google account ID, email, and display name), as needed to authenticate you and show your role in the studio or admin tools.
- Publisher and library data. We store metadata about publishers, publication series, editions, invitations, and platform administration in our database systems to run the service. PDF and cover files you upload are processed to make editions readable on the site; storage may include connected repositories or cloud services configured for the deployment.
- Technical data. Like most websites, hosting and infrastructure providers may process IP addresses, device and browser characteristics, and timestamps in server or security logs.
3. How we use information
We use the above to provide and secure PubHub, authenticate users, manage publisher memberships and invitations, display publications to readers, troubleshoot issues, and comply with law where required. We do not sell your personal information.
4. Service providers
PubHub relies on vendors such as Google (authentication), Google Firebase / cloud infrastructure for hosting backend services and databases, and possibly other providers configured for your deployment (for example static hosting or source-control storage for publication files). Those providers process data under their own policies and agreements.
5. Cookies and local storage
Sign-in and session features may use cookies or browser storage managed by Firebase and your browser. You can control cookies through your browser settings; disabling essential cookies may prevent sign-in from working.
6. Retention
We retain information for as long as needed to operate PubHub, meet legal obligations, and resolve disputes. Publication files and metadata may remain until removed by authorized publishers or administrators according to internal process.
7. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or restrict certain processing of your personal data, or to object or lodge a complaint with a supervisory authority. To exercise rights or ask questions, contact us through rsamdio.org. We may need to verify your request.
8. Children
PubHub is not directed at children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children for marketing. Publisher accounts should be operated by adults or as appropriate under organizational policy.
9. International transfers
Our service providers may process data in countries other than your own. Where required, appropriate safeguards (such as standard contractual clauses) may apply depending on the deployment and provider configuration.
10. Changes
We may update this policy from time to time. We will adjust the “Last updated” date and, when appropriate, provide additional notice on the site.
